CoachPilot is our clearest b2b saas case study for how a subscription app revenue model should be built directly into the product, not layered on top of it after launch. It's a fitness coaching app built for the coach's side of the business first, with a companion mobile app for their clients.

The challenge: running a coaching business across disconnected tools

Online fitness and nutrition coaches typically run their entire business stitched together from spreadsheets for meal and workout plans, a generic messaging app for client communication, and manual check-in questionnaires sent by hand. None of it talks to any of the rest of it, and none of it scales past a handful of clients without the coach drowning in administrative work instead of actually coaching.

The solution: a coaching operating system, not another app

Synaptix built CoachPilot as a dual web-and-mobile platform: a web dashboard for the coach and a companion mobile app for their clients. The centerpiece is an AI Co-Pilot the coach can talk to conversationally to generate meal plans, workout programs, and client check-in summaries, backed by multi-day meal planning with real-time macro tracking and a verified food library, and periodized workout programming pulled from a catalog of 5,000+ exercises with video demonstrations. Client management, real-time direct messaging, and recurring check-in questionnaires round out the coach's side. On the client's side, the mobile app delivers a daily home dashboard, that day's meal plan with live macro breakdown, and that day's workout with a one-tap start, plus a simple onboarding flow that joins a client to their coach via a coach code.

The subscription app revenue model built into the product

CoachPilot's pricing is tiered specifically around how a coaching business actually grows: Free for coaches with a small handful of clients, Pro for a larger client roster, and Ultimate for unlimited clients plus full AI features. This isn't a generic three-tier template, it's built around the real constraint that determines a coach's revenue, how many clients they can manage, so the free tier removes the barrier to trying the product and the paid tiers monetize coaches who are actively growing their business on top of it.

Why the AI Co-Pilot isn't a chatbot bolted on afterward

A common failure mode for AI features in SaaS products is a chat window stapled onto an otherwise unrelated product, answering questions but not actually doing the coach's work. CoachPilot's AI Co-Pilot is built directly against the product's own data model: it can generate a meal plan, propose changes to one, and calculate the resulting macros as real actions inside the platform, not just conversational suggestions the coach has to manually re-enter. The real-time messaging layer (typing indicators, presence, read receipts) runs on the same infrastructure a coach already uses to talk to clients day to day, so the AI assistance sits inside the coach's actual workflow instead of living in a separate tool they have to remember to open.

Where things stand: a founding-coach launch, honestly framed

CoachPilot is currently in its pre-launch growth phase, running a Founding Coach waitlist campaign offering a lifetime discount to early sign-ups. We're deliberately not citing user counts or revenue figures here, the product hasn't launched broadly enough yet for those numbers to mean anything, and this case study is framed the same honest way we frame every pre-launch engagement: what got built, why, and what it's designed to do once it's live, not invented traction.
