From Manual Invoices to Automated Payments: The Feyaventura Case Study

Not every custom software roi case study needs a flashy new app category to matter. Fe y Aventura Tours, a Spanish-language pilgrimage and cultural travel agency operating since 1989, needed something more foundational: software that actually generates revenue for a small business by removing the manual work standing between a booked trip and a completed payment.

The challenge: manually tracking who owed what

Fe y Aventura Tours runs group pilgrimage and cultural trips, Tierra Santa, Egipto, Turquía, Italia, España, Portugal, Medjugorje, Japan, each with its own group of travelers, its own payment schedule, and its own back-and-forth between staff and clients. Before Synaptix built their platform, staff tracked who owed what by hand and chased payments manually, a process that scales badly the moment you have more than a handful of trips running at once, and one that leaves real money sitting uncollected simply because nobody followed up in time.

The solution: a payment-link system built around how the agency actually works

Synaptix built a bilingual (Spanish/English) booking platform with a public marketing site (rich per-trip landing pages, day-by-day itineraries, photo galleries) and a staff-facing admin dashboard for the part that actually mattered most to the business: getting paid. Staff can generate a unique, shareable payment link per client per trip, sent over WhatsApp or email, no login required for the traveler. Stripe PaymentIntents and webhooks power every transaction behind the scenes, and the moment a payment succeeds or fails, both the agency (via automated email through Brevo) and the client get a real-time notification, a branded confirmation or failure message with the amount and trip details, without a staff member having to check manually or send a single follow-up message.

The outcome: fewer manual follow-ups, more on-time payments

This is a case where we're deliberately not citing a percentage or a specific revenue figure, that number doesn't exist in a form we can verify, and inventing one would undercut the honesty of every other case study in this series. What we can say plainly: the agency now has real-time visibility into every payment the moment it happens or fails, on-time payments increased, and the manual follow-up work that used to sit on staff's plate largely disappeared. For travelers, it also became effortless to pay and schedule a trip, no login, no phone call, just a link that works.

Why this counts as app development ROI even without a big number

App development ROI isn't only measured in a headline growth statistic. For a small business like Fe y Aventura Tours, the return was time given back to staff who no longer chase payments by hand, and revenue that no longer slips through the cracks of a manual process. That's a legitimate, if less flashy, version of software that generates revenue for a small business: not a new revenue stream invented from nothing, but real money collected reliably that used to depend on someone remembering to follow up.
